Describe the pattern rather than one average
Provide the activity calendar, expected peak days and periods when the property is unused. Include setup and cleanup teams. Ask how the provider would handle changing demand and whether the proposed equipment can remain in an approved position throughout the period.
Check permission for the whole period
A venue approval for one event may not cover repeated or continuous placement. Confirm the permitted location, access and duration with the responsible property contact. Do not assume a recurring reservation automatically allows equipment to be stored between sessions.
Agree an operating routine
Establish who checks supplies and reports damage or access problems. Discuss service visits around busy sessions and any periods when gates are locked. Weather and ground conditions can affect a planned location; raise concerns with the provider rather than attempting to secure or move the equipment yourself.
Set a deliberate end-of-season handover
Identify the last use, requested collection and the person who will provide access after regular staff leave. Review extension or early-ending terms in the actual quote. An activity calendar helps planning, but it is not a substitute for a confirmed pickup request.
