Identify the property and the correct entrance
Provide the street address and describe the entrance used by deliveries. Explain whether the main entrance differs from a service gate and whether a contact must meet the vehicle. Send private access instructions through the agreed channel; do not put gate codes or sensitive details in public links.
Review the proposed position with the provider
Describe surface conditions, slopes, obstacles, door access and nearby activity. Confirm property or venue permission. The equipment footprint is only one consideration: arrival, unloading, positioning and later service all need appropriate space. Ask for a review if photographs or measurements leave uncertainty.
Confirm the supporting arrangements
For a trailer, obtain actual utility requirements and have the property contact verify them. For cabins and wash stations, discuss supplies and service. Decide who checks that the route remains open after other vendors or trades arrive. Do not make improvised connections or move equipment without instructions.
Record the accepted plan
Keep the agreed equipment, dates, contacts and included services together. Ask how arrival changes are communicated and what to do if the site is not ready. A requested window is not guaranteed until accepted. Plan collection access at the same time, especially if the property will close after use.
