Separate attendance from peak demand
Describe arrival patterns, event length, staff, vendors and the busiest periods. A crowd arriving for one activity uses facilities differently from people coming and going all afternoon. Mention existing restrooms and whether they remain available throughout setup, the event and cleanup.
Confirm the property permission first
For a Tamarac park or facility, start with the city’s rental information and the specific venue contact. The reservation and the equipment delivery are separate arrangements. Ask where temporary facilities may be placed and when vendors may enter; a reservation is not blanket permission for every installation.
Keep the public route and service route compatible
Place toilets where guests can find them without crossing unloading areas. Include accessible approaches and handwashing. Explain fences, locked entrances, surface changes and any restriction on vehicle movement during the event. Discuss whether the provider can service equipment before guests arrive or between sessions.
Plan the part after the guests leave
Decide who remains responsible for the equipment during cleanup and who can admit the collection vehicle. Confirm pickup separately from the end of the venue booking. Report changes in attendance or timing promptly so the rental team can review the arrangement rather than discover them on arrival.
